Administrative Assistant for Public Safety (Part Time)

91社区 invites applications for the part time position of Administrative Assistant for Public Safety.

 

The Administrative Assistant will prepare correspondence and reports, copy, and distribute information efficiently, perform accurate and efficient computer entry and retrieval. The Administrative Assistant will have the ability to respond to difficult situations and people in a calm and courteous manner. Work overtime as necessary. Handle multiple priorities and respond to urgent request. Thorough knowledge of the principles and procedures of modern office support operations.

 

The Administrative Assistant will possess knowledge of document sharing and collaboration via cloud-based solutions. Skilled in operating a variety of computer software programs, including Word, Excel, Outlook, and PowerPoint. Required skills in maintaining and updating paperless records and documents. Ability to establish effective working relationships and use good judgment, initiative and resourcefulness when dealing with employees, elected officials, visitors, and the public.

 

 

Responsibilities: 

 

  • Assist in preparation of safety staff assignments and locations for all special events.
  • Drafting emails, agendas, and minutes for the director.
  • Performs specialized clerical work requiring a knowledge of departmental operations; independently gathers facts and prepares reports requiring research and personal inquiries.
  • Coordinate the Director’s calendar, scheduling appointments for the Director of Public Safety.
  • Research and compile data for monthly and annual department reports.
  • Perform a variety of clerical duties involving typing, filing, department mail, office supplies and report, procedures updates and issuing internal staff communications or memorandums.
  • Is the first point of contact for phone calls and walk-in inquiries and shall screen all citizen inquiries and provide or direct them to the appropriate resource for their needs.
  • Coordinate the Director’s calendar, scheduling appointments for the Director of Safety.
  • Research and compile data for monthly annual department reports.
  • Coordinates parking permit request, dispatcher scheduling, bank statement reconciliation, maintains office equipment/supplies levels, and other duties as assigned.

 

Required Qualifications:  

 

  • High school diploma or equivalent required, Associate’s degree preferred.
  • Previous administrative support experience.
  • Candidates must possess a valid Illinois Driver’s License
  • Must be open to availability after regular business hours in case of safety emergencies.

 

 

Demonstrated knowledge, skills, and abilities: 

 

  • Problem solving and decision-making skills.
  • Ability to multitask in situations where deadlines and meeting agendas are met and adhered to.
  • Must be able to work under limited supervision.
  • Effectively interact with all departments on campus as well as students, visitors, guests, and the general public.
